Role Overview:
We are seeking a highly organized and proactive Executive Sales Assistant (m/f/d) to support our VP Global Enterprise Sales. This role is critical in enabling the VP to focus on high-value strategic sales execution by managing operational, administrative, and coordination tasks throughout the sales cycle and related activities.

What You'll Do:
- Join customer and prospect calls, using tools to capture key insights, highlight takeaways, and track action items to keep discussions moving forward efficiently
- Support follow-up activities including preparing proposals, quotes, and coordinating responses with internal teams
- Help organize and manage responses to RFPs and RFIs, gathering input from across departments
- Manage scheduling and calendar coordination for internal and external meetings
- Provide timely and professional responses to basic prospect inquiries regarding IXOPAY's solutions and company information
- Arrange travel bookings and logistics for business meetings and events
- Assist in the planning and execution of events, trade shows, and onsite meetings
- Conduct follow-up activities post-marketing events, ensuring leads are properly documented, qualified, and routed
- Ensure all post-closing activities are executed in a timely and professional manner, including handover to Onboarding and Customer Success teams
- Maintain and update CRM and sales documentation systems with accurate meeting notes and status updates
- Identify and implement improvements to enhance sales coordination and operational efficiency
What You'll Bring:
- 3+ years' experience in a sales support, executive assistant, or sales operations role, ideally in B2B SaaS or Fintech
- Fluent in English, proficiency in German, French, Italian or Spanish is a strong advantage
- Based in or willing to relocate to Vienna, Austria
- Outstanding organizational, interpersonal, and communication skills
- High attention to detail, ability to prioritize, and a proactive, self-starting approach
- Comfortable working independently and collaboratively across time zones

Salary
For this position, the collective agreement sets a minimum salary of EUR3,063 gross per month (based on 38.5 hours/week). The actual compensation depends on your qualifications and experience, and we are happy to offer a higher salary if appropriate. Salaries are paid 14 times per year. The applicable collective agreement is for Information Technology and Data Processing (IT).
